Step-by-step workflow guides for your office and crews.

Practical steps for setting up your workspace, importing clients, planning visits, keeping field records and reviewing customer documents.

Help is available to every workspace member. Saved support requests stay in your company workspace; they are unsent and do not notify a support team.

Read the guides here without signing in. In your workspace, Help shows which actions your role, permissions and plan allow.

  • Start with the property

Add the client, then their service property. Open that property to add each tree with species, measurements, and condition. Keep field notes on the tree record; customer documents share only explicitly public information.

  • Build and share an estimate

Choose the client and property, add priced work, and use Customer document to preview the scope. Select the photos to include and choose a secure link, email, or text. Customer approval records their signature and chosen optional work, then creates the job.

  • Complete a day in the field

Choose the visit in My day. On Crew and Established plans, review hazards and sign the safety briefing before clocking in; record breaks and clock out when work ends. Field notes and photos can wait on the device while offline. Keep the app open when reconnecting so pending changes reach the workspace. Check pending changes before signing out or clearing browser storage.

  • Understand delivery status

A draft has not been sent. A prepared message is saved and needs a connected delivery service. Evaluation emails delivered to the local inbox are labeled clearly. External acceptance, delivery, failure, and replies use the connected provider’s actual events. Client consent and STOP are respected.

  • Plan visits and crew assignments

Create the job and its visits, then place work on the calendar. On Crew and Established plans, assign a crew and check its availability. Review the saved visit time and assignment after rescheduling. A calendar change does not itself send a client message.

  • Measure a site on the map

Choose the property, draw the site measurement, and save it to the relevant property or tree. Review the area or distance and units before using them to plan work. Map measurements support planning and do not replace an on-site safety assessment.

  • Review jobs and invoice balances

Review the job scope before preparing its invoice. Preview the customer document and check line items, tax, and payment history. Creating or sharing an invoice does not collect a payment. External payment collection depends on a connected service and verified payment events.

  • Track plant health care

Create a care program for the property and tree, then schedule each application. Record the actual treatment, conditions, and notes from the field. Check completed application records before planning the next visit. Follow product labels, qualifications, and local requirements.

  • Keep tree risk and history together

Link the assessment to the property and tree. Record observed site, crown, trunk, and root conditions with recommendations. Review the tree history for earlier care and observations. The saved record supports professional judgment; it is not an automated safety decision.

  • Receive inventory and record job materials

Create the inventory item with the correct unit, then record receipts against its purchase order. Record materials against the job when they are used. Review movement history before correcting a balance; receiving stock and consuming it are separate records.

  • Import clients and properties carefully

Choose the source file, map its columns, and review the preview and validation messages. Confirm the intended client and property matches before committing. Keep the source file so you can trace an imported value. Fix flagged rows before retrying them.

  • Review accounting without guessing

Accounting lists real sync requests, processing progress, review items, and linked provider records. Preparing a request does not perform an external sync. Inspect a failed or review run before retrying it. Verified payment events govern paid invoices and refund history.

  • Manage team access

Invite each person with the role they need. Review office permissions and price visibility, and give crew members access to their assigned field work. Role or company changes show a separate support draft and history. Ask the workspace owner to correct access you do not have.

  • Review customer portal access

Open the estimate or invoice and preview its Customer document. A secure document link grants access to that document; a client portal link covers the client records allowed by that link. Review scope and expiry before sharing, and revoke access when it is no longer needed. Review the recorded customer signature and optional work after approval. Keep private field notes out of public document content.

  • Read reports with the right context

Choose the reporting dates and check the company timezone before comparing totals. Collected revenue follows recorded payments; open invoices are not collected cash. Review missing labor, equipment, and material costs before treating a job margin as complete. Export the filtered report as CSV when you need to review its rows elsewhere.

  • Keep company details current

Review the company contact details, address, timezone, tax rate, and logo before saving. These settings appear in customer documents and guide company dates and calculations. If another person changed the settings first, reload the latest version, review the difference, and apply your intended changes again.

  • Know what the local workspace can prove

The local workspace can save records, record approvals, generate PDFs, deliver evaluation emails to the local inbox, and queue field work. External billing, payment collection, texting, and provider sync require their services. Read-only billing preserves records while preventing operational changes; Help remains available.

Common questions

Support questions

Practical answers for tree-care owners evaluating or configuring Treelocity.

How do I submit a support request from inside the app?

Open Business → Help to search workflow guides. Choose a topic, enter a title and describe the problem, then choose Save local support request. The saved receipt is unsent: it does not email a team, create an external ticket or promise a reply.

Can every workspace member use Help?

Yes. Owners, office staff and crew members can read guides and save local requests, including while the company is read-only. Owners can see the company’s saved requests; other members see only their own. Guides explain when an action needs a different role, permission or plan.

How do I troubleshoot a tricky CSV export from our old software?

Use the import guide, review the column mapping and fix the rows identified in the preview before committing. You can save the error and expected result in Help for your company to review. Avoid passwords, access keys and unnecessary customer details. Saving the request does not contact an external support service.

Where do crew members find instructions for installing the phone app?

Open Treelocity in the phone browser. On iPhone, use Safari’s Share menu and Add to Home Screen. On Android, use the browser’s Install app or Add to Home screen option when available. Open My day while connected before going offline, and check pending changes after reconnecting. Installation options vary by browser and device.
